Job Title: Executive Officer (EXO) Support Specialist

Location, Cairo, Egypt

Background: The Executive Officer (EXO) Support Specialist plays a critical role in providing comprehensive support to the USAID/Egypt mission's Executive Office. This position is responsible for overseeing various administrative functions, including Standard Operating Procedure (SOP) development, human resources management, process streamlining, position classifications, IT support, housing service, and small-scale procurements.

Responsibilities:

  1. Develop and maintain Standard Operating Procedures (SOPs) for the Executive Office to ensure efficient and consistent operations.
  2. Manage human resources functions, including recruitment, onboarding, performance management, and employee relations.
  3. Streamline administrative processes and workflows to enhance efficiency and productivity within the Executive Office.
  4. Conduct position classifications and maintain accurate records of position descriptions and organizational charts.
  5. Provide IT support and troubleshooting for Executive Office staff, including computer hardware and software assistance.
  6. Coordinate housing services for American staff, including lease agreements, maintenance, and relocation assistance.
  7. Oversee small-scale procurement activities, ensuring compliance with USAID regulations and guidelines.
  8. Serve as a liaison between the Executive Office and other departments within the mission, fostering effective communication and collaboration.
  9. Maintain confidentiality and discretion when handling sensitive information related to mission operations.

Qualifications:

  • Bachelor's degree in a relevant field such as business administration, human resources, or public administration.
  • Prior experience in similar roles within USAID mission office.
  • Strong knowledge of human resources management principles and practices.
  • Familiarity with IT systems and software, with the ability to troubleshoot basic technical issues.
  • Experience in developing SOPs and streamlining processes to improve organizational efficiency.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Attention to detail and strong organizational skills, with the ability to manage multiple tasks simultaneously.
  • Understanding of USAID regulations and guidelines related to procurement and administrative functions.
  • Must be eligible to obtain Facility Access Clearance. Secret clearance preferred.
